Terms & Conditions for Naturopathic Programmes & Consultations

1. Appointment Scheduling

• All consultations are delivered via telehealth.

• Appointments must be booked in advance.

• Sessions begin and end at the scheduled time.

• Late arrivals do not extend the session.

• Arrivals more than 15 minutes late are considered a no-show and the session is forfeited or charged in full.

2. Cancellation & Rescheduling Policy

• A strict minimum of 24 hours’ notice is required for all cancellations or rescheduling.

• Cancellations with less than 24 hours’ notice result in:

• Programme clients: session forfeited

• Single-session clients: full fee charged

• No-shows are charged in full or forfeited.

• Cancellations or changes must be made via email only. Requests via SMS, social media, voice notes, booking comments, or any other channel are not accepted.

3. Payment Terms

• All programmes and packages must be paid in full prior to commencement.

• A valid debit/credit card may be securely stored on file.

• Outstanding fees (including late cancellations or no-shows) will be charged automatically.

I• If payment fails, all future appointments are paused until resolved.

4. Refunds & Transfers

• All programmes, packages, prepaid sessions, and digital products are non-refundable.

• Sessions are non-transferable and may not be shared or reassigned.

• If you choose not to continue, unused sessions are forfeited.

5. Package Expiry

• All programme sessions must be used within the specified timeframe.

• Unused sessions expire automatically. Extensions are not provided.

6. Programme Inclusions & Exclusions

• Programmes include only services explicitly stated at purchase.

• Not included unless specified:

• Functional testing, Supplements, Additional reports, Emergency or crisis support, Messaging outside agreed channels, Long-form email consultations, Services beyond allocated appointment time

7. Client Responsibilities

To support best outcomes, you agree to:

• Attend appointments on time

• Provide accurate and complete health information

• Complete required forms at least 48 hours before sessions

• Provide requested test results at least 48 hours before sessions

• Follow the treatment plan to the best of your ability

Failure to meet these responsibilities may impact results but does not entitle rescheduling, refunds, or extensions.

8. Practitioner Boundaries

• Communication is via email during business hours only.

• Response times vary; urgent or after-hours support is not available.

• The practitioner may refuse or terminate services if boundaries are breached, behaviour is inappropriate, or payments remain outstanding.

• If services are terminated for these reasons, remaining sessions are forfeited.

9. Practitioner Availability & Force Majeure

• In the event of practitioner illness, emergency, technical failure, or circumstances beyond reasonable control, sessions may be rescheduled.

• The practitioner is not liable for delays or interruptions caused by such events.

10. Telehealth Acknowledgement

• You acknowledge that telehealth services have limitations compared to in-person care.

• By proceeding, you consent to receiving services via telehealth.

11. Privacy & Confidentiality

• All personal and health information is kept confidential and stored securely in accordance with Australian privacy law.

• Information is used solely for treatment purposes.

• Testimonials may only be shared with written consent or in a fully de-identified format.

12. Disclaimer & Liability

• Naturopathic care is complementary and does not replace medical diagnosis or treatment.

• Results are not guaranteed.

• You agree to seek medical care when required and to inform the practitioner of relevant changes.

• The practitioner is not liable for outcomes related to non-compliance or undisclosed information.

13. Intellectual Property

• All programme materials, protocols, tools, recordings, and educational content remain the intellectual property of Tracey Gartner.

• Materials may not be copied, distributed, reproduced, taught, or used commercially.

14. Governing Law (added protection)

• These Terms & Conditions are governed by the laws of Australia
